Job Responsibilities

We are seeking a highly qualified and experienced Personal Assistant to support the CEO of a large Investment Manager.

This is a multifaceted role that combines elements of IT troubleshooting, administrative support, calendar maintenance, household management, travel coordination and driving, all within a fast-paced, high-expectation environment. The ideal candidate is resourceful, tactful, trustworthy and thrives under pressure, often responding to shifting priorities on short notice.

This role requires significant travel between Florida, New York, Connecticut, Rhode Island and western US ski destinations and the ideal candidate will have the flexibility to travel on short notice.

Enthusiasm for outdoor and seasonal activities is highly valued.

Core responsibilities include, but are not limited to:

  • IT Support: Provide first-line, on-site technical assistance for PCs, home networks, printers, AV systems, smart home devices, wearables, and music systems. Coordinate closely with a New York–based IT team for escalated support.
  • Administrative Support: Conduct research and compile data into clear, actionable charts and summaries using Microsoft Office and Microsoft 365 tools.
  • Scheduling & Appointments: Coordinate and manage medical and personal appointments; provide transportation and accompany CEO as needed.
  • Culinary Assistance: Plan menus, shop for groceries, maintain a well-organized kitchen, and prepare daily meals tailored to preferences.
  • Household Operations: Perform light maintenance tasks (e.g., changing bulbs and batteries), oversee vendor scheduling, and assist with seasonal home preparation and setups.
  • Travel & Logistics: Arrange and manage domestic and occasional international travel; liaise with property managers and smart home vendors; accompany CEO on trips and coordinate logistics on the ground.
  • Transportation & Errands: Serve as chauffeur for appointments, airport transfers, and events; oversee vehicle maintenance and complete time-sensitive personal and household errands.

Ideal Candidate Profile:

  • Tech-savvy, with strong troubleshooting abilities across PCs, AV systems, smart home devices, and general home technology
  • A creative problem-solver who proactively identifies ways to streamline and improve everyday tasks
  • Fluent in Excel, with the ability to conduct and synthesize concise research into clear summaries and reports
  • Detail-oriented and highly organized, able to manage multiple priorities in a fast-paced, dynamic environment
  • Naturally curious, with a strong interest in learning new tools and technologies
  • Data-minded, comfortable compiling, analyzing, and presenting information across various software platforms
  • Comfortable in the kitchen, capable of preparing fresh, simple, and healthy meals
  • A strong communicator, discreet and proactive
  • Someone who enjoys traveling and can adapt quickly to different environments
  • Flexible and dependable, with core hours of 8 AM–6 PM (Monday–Friday), plus availability for evenings, weekends, and occasional travel across time zones (notably Mountain Time in winter months)
  • Physically capable, able to lift and move heavy or bulky items (e.g., kayaks, paddle boards)
  • Committed for the long term, looking to grow and thrive in a trusted, high-responsibility role
  • Comfortable around dogs
