  • Schedule & Flexibility: Office hours are 8:30 AM to 5:00 PM Monday-Friday

ABOUT THE ROLE:

  • We are a dynamic and growing property management company seeking a dependable and detail-oriented Commercial Lease Administrator to join and support our commercial property management team in lease documentation, office operations, and administrative efficiency. This role is a vital part of keeping our property management and accounting teams organized, accurate, and responsive to clients and tenants

KEY RESPONSIBILITIES FOR THE COMMERCIAL LEASE ADMINISTRATOR:

  • Track and manage key lease documents, including lease abstracts, amendments, renewals, and term sheets
  • Maintain and update lease data in the property management system
  • Assist with filing, scanning, digital recordkeeping, and document retrieval
  • Support insurance documentation workflows with the Insurance Coordinator
  • Maintain vendor files, W-9s, and COIs
  • Oversee general office management duties: supplies, scheduling, equipment, mail, etc.
  • Assist with tenant communications and coordination
  • Act as a Liaison between office and IT Support
  • Assist with onboarding new vendors and tenants in system
  • Update and maintain key data in accounting system vital for accurate reporting and migration to new software (anticipated in the coming year)
  • Draft, implement, and maintain standard operating procedures (SOPs) for key office functions and administrative workflows
  • Identify opportunities to streamline processes and improve documentation consistency
  • Provide administrative support to the President and the team as needed
  • Assist with HR onboarding paperwork, compliance, and internal communications
  • Other duties as assigned

QUALIFICATIONS:

  • At least 3+ years in a professional administrative role (real estate or legal a plus)
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Ability to manage time effectively and prioritize tasks
  • Proficient in Microsoft Word, Excel, and Outlook
  • Comfortable working in a digital environment with document systems
  • Team player, can-do attitude

Preferred But Not Required:

  • Experience in commercial real estate or lease administration
  • Familiarity with property management/accounting software (e.g., Skyline, Yardi, MRI, or similar)
  • Notary Public with Colorado Secretary of State, or ability to obtain
