Sr Administrative Assistant with potential to convert to FTE for the right individual who meets and exceeds performance and attendance expectations

Will support Managing Directors and Directors

Must be able to work in a fast-paced environment

Very strong written and verbal communication

Professional demeanor

Most employees take public transportation however if the candidate needs parking it will be at their expense

Will work onsite 5 days a week during training with potential to work at home one day a week after training period

Interviews: Will start with a Zoom interview then second interview will be in person in the office

Job Summary: Under limited supervision, uses specialized knowledge and skills obtained through experience and/or specialized training to provide advanced, diversified and confidential secretarial and administrative support to an assigned executive at the vice president or equivalent level with responsibility for a major organizational function. Guidance is provided to perform varied work that is somewhat difficult in character requiring evaluation, originality and ingenuity to make moderately complex decisions. Extensive contact with internal and external customers is required to identify, research, and resolve problems. May communicate information to internal or external customers to sell or service products.

Essential Duties and Responsibilities:

  • Maintains confidentiality.
  • Serves as a liaison with other functional areas and external customers in the resolution of routine administrative and operational issues.
  • Provides executive support including answering telephones; assisting visitors; and resolving and/or referring a range of administrative problems and inquiries.
  • Composes and edits correspondence and/or memoranda from dictation, verbal direction or from knowledge of established policies.
  • May prepare, transcribe, compose, type, edit and distribute agendas and minutes of meetings.
  • Schedules and coordinates meetings, events, interviews, appointments and/or other similar activities, which may include coordinating travel and lodging arrangements. Establishes, maintains and updates files, databases, records and other documents.
  • Sorts, screens, reviews and distributes incoming and outgoing mail.
  • Composes and prepares timely responses to a variety of routine written inquiries.
  • Performs other duties and responsibilities as assigned.

Qualifications:

  • Must have 5 years of experience supporting a Investment Banking Team of Managing Directors & Directors
  • Financial Services Industry Experience is a Must
  • Must know Microsoft Suite including Outlook (Intermediate to expert level)
  • Must have strong experience scheduling and booking domestic and international travel
  • Experience processing expenses using an expense system (Chrome River knowledge preferred)
  • Experience entering data into an investment banking CRM System (DealClound)
  • Must have experience arranging Client dinners for the Investment Bankers and Clients
  • Will work on Miscellaneous Projects as needed
