Responsibilities:

  • Greet and assist clients, providing information and directing them to the appropriate personnel.
  • Answer and direct incoming phone calls and manage general email and packages correspondence in a professional manner.
  • Maintain an organized and presentable front desk and reception area.
  • Schedule appointments, manage calendars, and coordinate meetings for staff as needed.
  • Perform administrative duties such as data entry, filing, making copies or printing any documentation. Assuring consultation booklets are prep for the newt day if needed.
  • Oversee and monitor internal databases.
  • Communicate with staff via emails, texts, and posted reminders for events, and any notifications needed.
  • Coordinate office supplies and inventory, ensuring timely restocking.
  • Support special projects, events, and other operational tasks as assigned.
  • Always maintain confidentiality of sensitive information.

Qualifications

  • High school diploma or equivalent.
  • 1-2 years of experience in office administration or other related fields.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail; ability to multitask and prioritize effectively.
  • Professional demeanor and a commitment to providing exceptional customer service.
  • Strong typing and computer skills.
  • Prompt and reliable in task execution.
  • English and Spanish is a MUST!

Preferred Qualifications

  • Experience in a professional service, legal, or corporate environment.
  • Familiarity with scheduling tools, CRM systems, or other office management software.
  • Ability to work both independently and as part of a team.

Working Conditions

  • Full-time, on-site position at Pembroke Pines Office
  • Standard business hours with occasional overtime as required.

Schedule and Pay Range

  • Monday – Friday 9am-6pm (In Person) - Full-Time (NOT REMOTE)
  • Pay: $20.00 - $22.00 per hour DOE
