Job Description

Are you an experienced Administrative Assistant with a desire to excel? If so, then Talent Software Services may have the job for you! Our client is seeking an experienced Administrative Assistant to work in their company in Redmond, WA.

Primary Responsibilities/Accountabilities:

This role involves performing a variety of complex administrative functions primarily for an individual manager and secondarily for a group. Responsibilities include managing schedules, coordinating travel arrangements, meetings, and events, overseeing department financial, personnel, and facility operations, and completing special projects as assigned.

We seek candidates with excellent communication, prioritisation, and multitasking skills, along with professionalism and operational excellence. You should be able to navigate a fast-paced environment, demonstrate good judgment, accommodate diverse work styles, maintain confidentiality, and consistently follow through on tasks. Success in this role means managing high workloads calmly and independently, dealing with ambiguity, and having a passion for supporting managers and organisations.

  • Purpose of the Team: Supporting an engineering team that handles both internal and external security efforts for a large enterprise company.
  • Key Projects: Contribute to calendaring for one person and provide team support for around 150 members. Assist with travel and expense management, and help manage the Rhythm of Business. Support events such as holiday morale events, all-hands meetings, and town hall events.
  • Typical Task Breakdown and Operating Rhythm:
  • 50% calendaring
  • 20% team support
  • 20% Rhythm of Business support
  • 10% travel, expense, and event support

Experience in administrative, business support, or customer service roles with an emphasis on scheduling meetings/events, travel management, calendar management, or administrative work for executive/upper-level management is preferred.

Qualifications:

  • Years of Experience Required: 2-4 years of overall experience in the field.
  • Degrees or Certifications Required: No degree is required for this role.
  • Best vs. Average: An ideal candidate has previous experience in a similar corporate enterprise tech environment, thrives in person, and is active onsite with the team. Previous experience planning morale events and working with business managers and operations is advantageous.
  • Performance Indicators: Performance will be assessed based on weekly check-ins and the ability to provide excellent calendar and team support.
  • Minimum 2 years of experience with calendaring in Outlook
  • Minimum 1 year of experience with travel and expense support
  • Minimum 1 year of experience with Rhythm of Business tracking and support
